Terms and Conditions – Tours and Packages

Payment:  We accept the following methods of payment:
o Wire Transfer
o Traveler’s Cheques or Cash
o Amex, Visa & Mastercard Credit Cards
o PayPal
o US$ Check
Rate Information:
o Minimum of 2 persons required for tours or packages
o Rates are based on US$ Dollars and are per person
o Prices are subject to change at any time before you confirm.
o You may be joined with other persons or groups on a tour
o Items included in tour are specified in the tour description. Full day tours usually, but not always, include:
   - dedicated van and driver transfer
   - guided tour with experienced and professional guide, including specialist guides where appropriate
   - beverage cooler on ground transfers
   - entrance fees
   - local lunch with beverage
   - tour equipment (such as headlamps, inner tubes, etc)
o Items not included are specified on the tour description
o Packages include items as per description on individual packages advertised
o Tour Rates do not include:
   - Items not included are specified on the tour description - please review carefully
   - Gratuities are optional and are not included – please feel free to tip your driver/guide for a job well done.
   - Items of personal nature
   - Meals and beverages not specified
The responsibility of UpClose Belize is limited and acts only as an agent for the passengers in regards to travel whether by railroad, motorboat, private car, boat, aircraft, or any other conveyance, and assumes no liability for injury, damage, loss, accident, delay, or irregularity which may be occasioned either by reason of defect, through the acts of God, dangers incident to the sea, fire, breakdown in machinery, acts of government or other authorities, de jure or de facto, or wars, whether declared or not, hostilities, civil disturbances, strikes, riots, pilferage, epidemic, medical or customs regulations of from any caused beyond UpClose Belize control, or from any loss of damage resulting from improper passports, visas or other documents. UpClose Belize cannot accept responsibility for the loss or additional expenses due to delay or changes in schedules or other causes. The right is reserved to accept or decline any passenger should such person’s health or general deportment impede the operation of the services to the detriment of the other passengers. Refunds regarding these passengers will be handled on an individual basis. UpClose Belize reserves the right to cancel or reschedule any itinerary as may be deemed necessary for the carrying out of the tour package either before departure or en route, or withdraw any tour or package. Baggage is carried at passengers’ own risk and baggage insurance is recommended. The issuing of tickets and vouchers shall be deemed to be consent to the above conditions. The airlines concerned are not be held responsible for any act, omission or event during the time passengers are not on board their aircraft or conveyances. The passage contract in use by the airlines concerned, when issued, shall constitute the whole contract between the airlines and the purchaser of these tours or packages and/or the passengers.
When you book a package tour with us you accept responsibility for the proper conduct of yourself and your party while on the tour. We reserve the right to terminate your package or tour or of any member of your party due to misconduct. If your actions or that of any other member of your party cause damage to the tour equipment or accommodations in which you are staying, you agree to fully indemnify us against any claim made against us or on behalf of the owners of such equipment and accommodations.
Changes to Tours or Packages:
Once a tour or package has been confirmed, any changes to the reservation will be processed at no extra charge for up to three changes. We do, however, reserve the right to implement a charge of $25 for every change made in excess of the first two changes. Request for changes must be made in writing.
Deposit, Payment & Cancellation Policy:
Deposit / Payment Requirement:
o 50 % Deposit required to confirm reservations.
o Final Balance payable 5 days prior to arrival on Tours.
o Final Balance payable at least 45 days prior to arrival on Vacation Packages.
o Itinerary and rate are not guaranteed until reservations are confirmed with payment.
General Cancellation Policy:
o Cancellations must be made in writing
o No refunds are given for any unused portion of the tour.
o Cancellation charges apply if your final payment is not received and your package or tour is then canceled by us.
Cancellation Policy for Tours:
o Cancellations received 10 days or more of scheduled arrival date will receive a full refund.
o Cancellations received within 10 days prior to arrival will receive 50% refund.
o No refunds will be given on cancellations received within 1 day or less prior to arrival.
o Cruise Ship guests will receive a full refund in the event the ship does not come to port or cancels disembarkation.
Cancellation Policy for Vacation Packages:
o Cancellations received 60 days or more of scheduled arrival date will receive a 100% refund less handling charges of US$100 per person.
o Cancellations received 60 – 45 days prior to arrival will receive 50% refund of the deposit.
o There will be no refund for cancellations received within 45 days or less.
Cancellation policy during our high season, USA Public and Bank holidays, including Thanksgiving,
Christmas and New Year Period:
Bookings canceled up to 91 days before arrival date full refund, after 90 to 61 days full refund less US $ 100.00 per room deposit, 60- 46 days 50% penalty on room cost and cancellations 45-30 days or less no refund. Rooms that are held without deposit in hand 90 days prior to arrival will be released.
Important notes:
o Unused portions of hotel and/ or part of the package plan not taken by the customers; tours canceled as a result of inclement weather and/ or Acts of God are non- transferable and nonrefundable.
o UpClose Belize cannot be held responsible or liable for trip cancellations or altered itineraries due to reasons beyond our control.
o There will be no refunds for no-shows, unused portions of packages or vouchers, early departures, late arrivals or acts of God for circumstances beyond the control of UpClose Belize.
o UpClose Belize is not liable for any injury, death, accident, delay or loss as related directly or indirectly with tours/trips.
o UpClose Belize is not liable for any expense(s) incurred by the loss or damage to any personal property owned by the guest(s) while staying at neither Hotels nor participation in any tour.
o UpClose Belize is not liable for any late arrivals of transportation due to schedule change or delay.
o The Customer and/or Agent declares to be well aware and informed regarding the nature of package expeditions and about the risks of traveling through Belize in general. UpClose Belize provides sufficient information about proper clothing and the policies in general. It is the responsibility of the agent to inform his / her client regarding the simple and adventure based nature of listed packages. It is therefore important that agents make sure that their clients know where they will be staying and what to expect.
